Privacy Policy

Last Updated: 16th December,2025

This Privacy Policy explains how KarmIQo (“KarmIQo”, “we”, “us”, or “our”) collects, uses, and protects personal information when you visit our website, use our product, or interact with us in any other way.

By using KarmIQo, you agree to the practices described in this Policy. If you do not agree, please do not use our services.

1. Who we are

KarmIQo is a performance management platform that helps organizations manage OKRs, KPIs, recognition, and feedback. We provide our product to business customers (“Customers”) who then invite their employees and other users (“End Users”) to the platform.

For most data we process on behalf of a Customer (for example, reviews, goals, ratings), the Customer is the data controller and KarmIQo acts as a data processor/service provider. For data we collect directly through our website, marketing activities, or billing, KarmIQo is the controller.

You can contact us at: privacy@karmiqo.com

2. What this Policy covers

This Policy applies to:

  • Visitors to our website and marketing pages
  • Users who use the KarmIQo platform
  • People who contact us for support, sales, or careers

It does not apply to any third-party services you connect to KarmIQo (such as HRIS, payroll, or communication tools). Those services are governed by their own privacy policies.

3. Information we collect

We collect information in three main ways: what you give us, what we receive automatically, and what our Customers provide.

3.1 Information you provide directly

Examples include:

  • Account details - name, work email, job title, department, password (hashed), profile photo.
  • Company and billing details - company name, business address, billing contact, tax information, subscription details.
  • Content in KarmIQo - OKRs, KPIs, goals, ratings, self-reviews, feedback comments, recognition messages, attachments, and other inputs you choose to submit.
  • Support and communication - messages you send to our support team, feedback forms, NPS surveys, or other communications.

3.2 Information collected automatically

When you visit our website or use our product, we may automatically collect:

  • Usage data - pages or screens viewed, features used, clicks, time spent, referring URLs.
  • Device and log data - IP address, browser type, operating system, time zone, error logs.
  • Cookies and similar technologies - small files that help us remember your preferences and measure how our website is used.

You can control or block cookies through your browser settings, but some features may not work correctly without them.

3.3 Information from Customers and third parties

Our business Customers provide us with:

  • User lists and metadata
  • Organizational structure
  • Settings, templates, and performance cycles

If we offer optional integrations, we may receive additional data from those systems according to the permissions configured by your organization.

4. How we use your information

We use personal information to:

4.1 Provide and operate the service

  • Create and manage user accounts
  • Run OKR, KPI, recognition, and feedback workflows
  • Store and present performance data and reports

4.2 Support and improve KarmIQo

  • Troubleshoot issues and provide helpdesk support
  • Analyze feature adoption and improve user experience
  • Develop new features and enhancements

4.3 Security and compliance

  • Detect, prevent, and respond to security incidents
  • Enforce our Terms & Conditions and acceptable use
  • Comply with legal obligations and respond to lawful requests

4.4 Communication and marketing

  • Send service-related emails (invites, notifications, changes to our policies)
  • Share product updates, webinars, and best-practice content (you can opt out of marketing communications at any time)

We do not sell personal information.

5. Legal bases

Where applicable law requires a legal basis (such as in the EEA or UK), we rely on:

  • Contract: to provide the service under our agreement with the Customer.
  • Legitimate interests: to secure and improve KarmIQo, prevent abuse, and support our users.
  • Consent: for certain marketing activities or optional cookies.
  • Legal obligation: when we must keep or disclose data to comply with law.

6. How we share information

We may share personal information with:

6.1 Service providers / sub-processors

Carefully selected vendors who help us host, store, email, log, analyze, or secure the service (for example, cloud hosting, email providers, analytics tools). They are bound by contractual obligations to protect data and use it only as instructed.

6.2 Your organization

Admins and reviewers within your company can see certain information about you as configured by your employer (for example, your goals, ratings, and recognition history).

6.3 Professional advisors and legal authorities

When required to comply with law, respond to lawful requests, or protect our rights, safety, or property.

6.4 Business transfers

If we are involved in a merger, acquisition, financing, or sale of all or part of our business, your data may be transferred as part of that transaction, subject to appropriate safeguards.

We do not share performance content (like comments or ratings) with other customers.

7. International transfers

We may store and process information in countries other than the one you live in. Where required, we use appropriate safeguards (such as standard contractual clauses or equivalent mechanisms) to protect personal data transferred across borders.

8. Data retention

We keep personal information for as long as necessary to:

  • Provide the service to our Customers
  • Comply with legal, tax, or accounting obligations
  • Resolve disputes and enforce our agreements

Customers can request deletion or export of their data according to our agreement. When we no longer need data, we delete or anonymize it.

9. Security

We use technical and organizational measures designed to protect personal information, including:

  • Encryption in transit (HTTPS/TLS)
  • Restricted access based on role and need-to-know
  • Monitoring and logging of key systems
  • Regular backups and disaster-recovery processes

No system can be guaranteed 100% secure, but we work continually to protect your data and detect potential issues quickly.

10. Your rights

Depending on your location and on whether we are acting as controller or processor, you may have rights to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion or restriction of your data
  • Object to certain types of processing
  • Receive a copy of your data in a portable format
  • Withdraw consent (where processing is based on consent)

If you submit a request, we may need to verify your identity. In many cases, because we act as a processor, we will direct you to your employer or the relevant Customer, who controls your data.

To exercise your rights, contact us at privacy@karmiqo.com.

11. Children’s privacy

KarmIQo is a business tool aimed at organizations and is not intended for children. We do not knowingly collect personal information from children under the age required by applicable law. If you believe a child has provided us with personal data, please contact us and we will take appropriate action.

12. Third-party websites

Our website and product may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before providing any information.

13. Changes to this Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the “Last updated” date at the top of this page and, where appropriate, through the service or by email.

14. Contact us

If you have questions about this Privacy Policy or how we handle personal information, please contact us at: privacy@karmiqo.com.
